Job Purpose and Summary
The Crew Administrator, as a vital member of the Marine HR Team, provides administrative support in the area of crew. The role holder organizes and maintains our company’s day-to-day operations, supports to the Marine HR Team and coordinates all daily administrative activities.
Core Responsibilities
Key business
- Oversees the crew sign-on and sign-off process and reviews immigration documentation to determine validity of documents.
- Ensures the efficient clearance of crew members signing on and off through customs and immigration by diplomatically encouraging a productive relationship with the relevant officials.
- Coordinates with the shore-side support group the repatriation process for shipboard employees.
- Ensures accuracy of employee records.
- Prepares the proper documentation preparation and request of tickets, traveling visas and hotel accommodation for seafarers’ travels.
- Works with Crew Coordinators, performing a variety of related duties.
- Participates in preparation of Cash Advance Requisition Forms upon seafarers’ request and travel expenses claims.
- Supports the Marine HR Team ad hoc projects.
Relationships
- Builds and maintains strong professional relationships with seafarers.
- Promotes GasLog’s reputation, standards and values through communication with shipboard personnel, applicants and internal stakeholders.
- Ensures transfer of information within own team and expert functions.
Indicative Formal Education & Experience
- Preferred formal education: University graduate in Business Administration or Maritime Studies will be an asset.
- Experience: Minimum 1 year experience in similar role.
- MS Office skills are essential. Experience with SAP is considered an asset.
- Excellent communication skills, both written and verbal in English and Greek.
