HR Assistant

Your mission

The role of the HR Assistant involves a wide range of support activities inside our HR department. As an important part of the role is to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions. The HR assistant role also assists in creating policies, processes and documents. In addition, assist with day-to-day operations of the HR functions and duties.

Main responsibilities

1. Recruitment and Selection

  • Handling of recruitment process cycle (incl. Talentlink tool)
  • Coordinate communication with candidates and schedule interviews
  • Assist to conduct initial orientation to newly hired employees

2. Payroll

  • Assist in payroll preparation by providing and preparing relevant data (absences, bonus, leaves, etc.)
  • Communicate with public services when necessary

3. Training and Development

  • Interface with external vendors and suppliers for the implementation of training programs to meet the business needs where appropriate
  • Assist to identify key skills, specialty skills and propose training needs accordingly

4. Human resource information and management system

  • Assist with day to day operations of the HR functions and duties by providing clerical and administrative support to Human Resources manager
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations etc.)
  • Assist in HR projects (meetings, training, surveys etc.) and take minutes
  • Deal with employee requests regarding human resources issues, rules, and regulations
  • Compile and update employee records (hard and soft copies) and monitor timely to update employee records (personal details, position, salary, appraisal outcomes, leave records, training and awards)
  • Handling and monitoring time attendance and operation platform.

Requirements

  • University degree in Business Administration, Psychology or relevant field.
  • Desired Master Degree in HR related field.
  • Ideally 1-3 years of relevant experience as HR Assistant or HR Generalist
  • Customer service mindset, wellorganized and able to work independently to meet deadlines
  • Exceptional communication skills (written, verbal and listening)
